Duties & Responsibilities

Title: Administrator



Organization: Zardozi – Markets for Afghan Artisans



Duty Station: Kabul Main Office, with a requirement for provincial travel



Reporting to: Chief of Finance



Working Hours: Full time, 5 days a week (Sunday-Thursday 0800 to 1600, variable during Ramazan)



Salary Range: National Technical Assistance Grade D [AFN 38,000 per month upwards], with Step on appointment subject to qualifications and experience



Transport: Pick-up/drop-off transport will be provided

DUTIES AND RESPONSIBILITIES



DMINISTRATION



·         Ensure all bills are paid for facilities such as water, electricity and transparent records maintained



·         Maintain records of rent payments



·         Ensure that Zardozi premises are clean, tidy, safe and hygienic



·         Work with Regional Managers to implement parallel systems for administration in regional offices



       Logistics



·         Manage all contracted drivers to ensure that drivers and vehicles are in a fit condition, that vehicles are well maintained and licensed, and employed according to agreed policies and procedures and that staff are supported to carry out field duties



·         Manage logistical arrangements for the Executive Director and consultants



·         Maintain transparent records for all vehicles  



·         Work with Regional Managers to implement parallel systems in regional offices



Assets Register



·         Prepare and maintain registers of all Zardozi assets



·         Ensure that all assets are labelled according to auditors’ instructions



·         Undertake a regular audit of assets, generating a written report (at least annually) of asset conditions, remaining useful life and misuse of assets



·         Work with Regional Managers to implement parallel systems in regional offices



       Stationery and office items



·         Ensure a register of stationery and office items is maintained by each department and kept up to date, with a requirements list submitted to the Administration department each month



·         Ensure that replacement stationery and office items are purchased in good time and stored securely, so that at least one month’s supply of any office needs are kept available



·         Undertake a regular audit of stationery and office items, generating a written report (at least annually) of stocks and misuse of assets



·         Work with Regional Managers to implement parallel systems in regional offices



Support Staff



·         Ensure that all administration support staff carry out their duties in line with their job descriptions



·         Ensure that administrative records are filed appropriately and filing systems kept up to date and secure



·         Work with Regional Managers to implement parallel systems in regional offices



Purchasing 



·         Prepare requisitions for the purchase of required items as necessary, ensuring that the procurement of all goods and services is in line with Zardozi’s agreed procedures,



·         Work with Regional Managers to implement parallel systems in regional offices



LIAISON 



·         Process visa applications, work permits, etc., as needed for expatriates and other staff as necessary



·         Ensure that all reports for Afghan Government ministries and agencies are submitted on time in the correct format



·         Liaise with Afghan Government ministries and agencies as necessary to ensure the smooth functioning of Zardozi’s offices and activities



·         Work with Regional Managers to implement parallel systems in regional offices



Security



·         Ensure that Zardozi premises, contracted vehicles and assets are held and maintained securely



Monitoring and Reporting  



·         Ensure administration and personnel reports are prepared as agreed with management



Other tasks



Undertake any other relevant duties as may be assigned by the Chief of Finance

A university degree is required, obtained from a university recognised by the Ministry of Higher Education, and preferably in a relevant subject.
