Bachelor’s degree in business administration social sciences or any other related subject to position.
3-5 years of relevant experience of administration logistic & procurement with NGO & INGOs or government of Afghanistan.

Good communication skills with good command on Dari Pashto and English
Experience of administration logistic procurement and working with civil society organizations

Duties & Responsibilities
POSITION OBJECTIVE (Summary of Key Function):
Afghanistan Civil Society Institute (AICS) is established to support development of a vibrant civil society sector in Afghanistan. AICS strategic priorities are in the following areas:
Policy engagement: Facilitating policy analysis dialogue and engagement with stakeholders.
Knowledge & Learning: Strengthen CSOs through the collection analysis and sharing of information and learning.
Self-Reliance: Diversifying and strengthening CSO funding bases by identifying new and innovative approaches to fund raising.
Certification: Improving CSO credibility through certification against local and international standards
To support AICS in the areas of procurement logistics transport office management and security of AICS space and personnel.
Core Duties & Responsibilities:
Prepare all necessary documentation for procurement of goods and services in accordance with AICS rules and regulations including RFQ RFP PO and Contracts or any other documents as needed.
Maintain proper records on procurement processes and related documents and files to ensure transparency and accountability.
Raise purchase orders seek approval and dispatch as and when required in line with AICS Procurement Procedures Manual.
Monitor deliverables under contracts awarded and prepare documentation for authorization of payments to suppliers.
Prepare Goods Receive Notes making stock cards and making sure storage of goods based on goods storage requirement.
Process all the visas and work permit documentation to the related ministries and departments.
Monitor and supervise the support staff activities for the office building.
Regularly monitor the rental driver’s log sheets staff overtime and vehicle movements.
Monitor the fuel issuance/receipt and deal with the fuel providers for the AICS vehicles and office operations.
Acquire lump sum of advance from finance for the administration of small purchases for the office and to clear advance with finance according to the expenditures.
Prepare the schedule for the support staff for the per diem over time day and night duty and submit to the finance.
Check the photo copy machines scanner and any other office IT equipment in case of any problem seek timely repair.
Make sure that all operation activities are aligned with policies and procedures.
Make sure that all official vehicles are running and maintained in very good condition.
Serve as security focal point; advise newly hired staff on security protocols provide regular security advice for staff and contractors; conduct regular security simulations and send security messages to staff and contractors.
Develop and maintain constructive and cooperative working relationships with colleagues and management
Any other relevant tasks assigned by line manager.
