Ø University degree.
Ø At least 4 years work experience in relevant field, preferably with USAID, international donor-funded projects or NGOs on relevant programs in Afghanistan.
Ø Fluency in speaking and writing English and Pashto and Dari.
Ø Excellent verbal and written communication skills.
Ø Hard worker, proactive and innovative.
Ø To have computer knowledge especially office package; Word, Excel, Power Point, and Microsoft Outlook.
Duties & Responsibilities
The Administrative Assistant is responsible for all the daily work, which is assigned to him/ her, and must maintain all administration filing systems. Must possess excellent knowledge of Word, Excel, Power Point, and Microsoft Outlook, with specific experience in document management and control, preferably with cloud based data systems.
The Administrative Assistant will assist the Chief of Party, Construction Management Department and MIS Department in all administrative tasks, filing project information in accordance with project standards. Available to help staff on photo copying and production of work order deliverables and development of reports as needed. Supports the filing requirements of the Document Management system, logging in documents, tracking them, and saving them in correct locations.
Duties and responsibilities:
Ø Ability to work independently.
Ø Possesses strong follow up and prioritization skills are essential in order to meet deadlines.
Ø Organize and update project related documents.
Ø Assist and support Construction Management Department in daily work and reports.
Ø Producing accurate documents, reports and presentations as necessary.
Ø Prepare Site Reports, Photos Logs and Financial Reports.
Ø Maintain an adequate filing system including office administrative files and correspondence record keeping systems.
Ø Review reports and correspondence, paying close attention to detail with a high degree of accuracy.
Ø Arrange the circulation of needed correspondence to office staff.
Ø Arrange and inform staff about meetings and if required taking the notes of the meeting.
Ø Translate materials from Dari in to English and English to Dari.
Ø Plan, organize and independently carry out workload priorities to ensure smooth and timely coordination and production.
Ø Provide support to all the staff in administrative related works when staff needed.
Ø Attend weekly departmental meeting and present administration activities and update other team members.
Ø Perform any other related tasks assign by supervisor and management team.
