Skills and Qualification Required
 Technical skills (required):
Degree in Finance accounting management or other relevant field of study preferred
Technical skill and competence:
- Good knowledge of NGOs previous experience in this field of expertise will be considered an asset
- Familiarity with international humanitarian operations coordination structures and the mandates of donors UN agencies and other NGOs
- MS office
- Knowledge of Saga and Homere is a plus
Personal quality:
- Capacity to adapt to strong security constraints.
- Diplomacy and assertiveness; the ability to confront and discuss sensitive issues with respect
- Profound cross-cultural awareness
- Ability to work in autonomy and strong sense of initiative;
- Good resistance to stress and pressure;
- Good organizational skills;
 Languages (required):
- To be fluent in Dari Pashto and English (written read spoken)
 Personal:
- Being proactive motivated and able to learn quickly new methods of working
- Ability to work in and adjust with different situations
- Previous experience within the area of intervention
- Being able to work autonomously under remote management

Duties & Responsibilities

Position in the organisational chart:

The Administrative Officer will be under the direct supervision of the Administrative responsible

2. Main objective of the position

He/she assists Solidarités International team members by providing written translation and oral interpretation of internal and external communications.

He/she guarantees the accurate keeping and filing of accountancy and HR documents (digital and original documents)

3. Specific Tasks of the position


 On request translate documents relating to Solidarités International activities and ensure strict adherence to the meaning and formatting of the original documents

 On request provide interpretation for conversations between Solidarités International personnel and/or its contacts

 Ensure that the intended parties fully understand the messages relayed by members of Solidarités International

 On request and as needed provide language instruction to Solidarités International members

Accountancy files check

 Ensures quality control of the invoices of all work bases (nature of the invoice amount date signature stamp translation accuracy of calculation etc.)

 Prepares a report of all missing invoices differences in amounts between invoices and vouchers or other discrepancy or lack of procedure follow up

 Controls the quality of the presentation of invoices done at base level: translation date proposed upon validation admin coo an addition of a calculation note (ticket) etc.

 Files invoices according to the books of each work base and labels files according to SI policy

 Does digital archiving of invoices according to SI policy and photocopies invoices when needed

 Prepares archives to be sent to headquarters for audits or regular sending (final checking of invoices and their presence complete the risk file if necessary and does the adequate packaging)

HR files check

 Checks that national employee’s personal file are properly completed according to the required list of documents

 Checks that digital archives are completed according to the required list of documents

 Classifies on monthly basis all original documents coming from all work bases (contract amendments disciplinary files end of contract documentation etc.)

 Prepares a report of all missing documents (digital and original ones) and does a monthly follow up


 Ensure the confidentiality of all translated information

 Report any problem relative to her/her job and the daily organization of work to his/her supervisor
