Duties & Responsibilities

Position Summary:

The Communication and Information Management Officer will assist the PPC in ensuring programmatic information from the monitoring staff already imbedded in projects and information from representation meetings is compiled in one place. This position will ensure that the collected information is used to reflect the progress of ongoing activities and improve future programs. Additionally this position will also assist with human interest stories and photographs in the support to the Communications focal point to be able to publicise the work of RI with the Ghazni team on the RI web site.

Meanwhile he or she will be responsible for enhancing internal and external communication coordinating to improve RI Ghazni reporting skills and information sharing system. The person in this role with be innovative and always looking for opportunities to improve the ways of working particularly when there are various projects with elements which overlap.

Essential Monitoring Duties and Responsibilities:

  • Be a focal point for all monitoring aspects in each project team to be able to consolidate project progress in one place. This will require monitoring the progress of ongoing activities against various log frames and work.

  • Work with all of the project teams to compile human interest stories including photos (and obtaining consent for their use). This may develop into case studies in the future.

  • Participating in monitoring and evaluation exercises surveys and assessments as required.

  • Directly observe the program implementation quality between projects at the field level and communicate the difference in quality to the PPC and ensure this is noted in monthly reports.

  • Overseeing the collection of data analyzing it and making recommendations to policy and practice

  • Managing information including documenting project data archiving filing and its retrieval for use when needed

  • Monitoring and assessing training and other project events in the field. Based on findings and lessons learnt make appropriate recommendations for future activities;

  • Accompany monitoring officers in field trips occasionally when specific events are going to be able to witness activities first hand.

  • Compile and submit a monthly report to the Deputy Country Director copied to the PPC  by the end of the first week of each month on the consolidated information from the previous month.

  • Essential Communication Duties and Responsibilities:

  • Be responsible to share the major achievements of RI/Ghazni activities with the direct and indirect beneficiaries and try to receive feedbacks and complaints from the community members.

  • In close coordination with PPC participate in all external coordination meetings representing RI effectively.

  • Be responsible to collect success stories from the RI ongoing activities and incorporate those stories in our day by day communication to the Communications focal point in Kabul.

  • Be responsible to monitor all print local newspapers/on line news regards to Ghazni and produce summary of key articles pertaining to development peace security and other relevant issues and send to the DCD and PPC. 

  • In close coordination with PPC prepare internal/external meeting minutes and disseminate those to relevant staff at Kabul as well as Ghazni level.

  • Prepare news articles regards to RI activities for internal as well as external use. The report have to be in high quality and in line with RI publishing polices. 

  • Assist in preparation and logistical planning for various events e.g. conferences workshops consultations internal and external meetings with clients and donors audio and video conference etc.

  • In close coordination with the PPC ensure proper linkage with all government and local authorities attending all external meetings with the PPC

  • Carry out any other official task relevant to the focus of this position by the line manager in coordination with the DCD and CD.
