Working location:

  1. Position based in Medair Kabul office. Part of the job is training and support to other field offices therefore travel several times a year to each location is required.

Duties & Responsibilities

Technical responsibilities

1- Adherence to Logistics procedure

a. Review of Log Packs Stock Management Equipment Maintenance and Fleet Management

b. Approval of CBA

c. Standard price lists

d. Support to field offices and other departments

e. Review and feedback on supporting documentation

 2- Kabul Logistics staff supervision

a. Coordinates workload within the team provides support and feedback

b. Assume their task in their absence

3- Others

a. Review of project and base budgets

b. Quality assurance and compliance

c. Assistance with audit

d. External representation

4- Assists the Programme Support Manager in all Logistics matters

General responsibilities

  1. Immediate notification of any suspicion of fraudulent activity amongst staff and external links.

  2. Adherence to Medair values and to contribute to the wellbeing of the team as an active member.

  3. Adherence to Afghan NGO Law and Tax Law.

  4. Adherence to all NRS Regulations and Security Standard Operating Procedures and maintaining confidentiality at all times.

Logistics procedures – Supply chain

  • Ensure proper supply chain management procedures are in place according to Medair standards – to include

  • Procurement warehousing transportation and management of logistics resources.

  • Manage the procurement process in a transparent efficient and cost effective manner.

  • Ensure regular and timely

  • transmission of order status stock levels and shipment status to project and logistics staff.

  • Ensure that local market surveys are regularly carried out to ensure a full knowledge of the availability and price

  • of local items. Ensure supplier database is created and maintained reflecting supplier status.

  • Oversee warehouse operations (with particular emphasis on medical and nutrition supplies).

  • Maintain accurate filing systems with documented records of logistics transactions for audit purposes.

Logistics Procedures – Resources assets and premises

  • Ensure the management and security of vehicle fleet; ensure maintenance schedules are adhered to.

  • Coordinate all types of equipment and assets including communication IT and power to ensure that equipment

  • are managed diligently and operated in the most cost efficient manner.

  • Support management of existing field bases establishment of new ones and closing of existing ones. Liaise as

  • necessary with the landlords to ensure proper maintenance and optimum availability of facilities and utilities (e.g.

  • electricity water phone-lines physical security and building repairs).

  • Ensure readiness at all times for hibernation or evacuation.

  • Ensure regular backups are done for all computers.


Kabul Logistics staff supervision

  • Manage staff with integrity and foresight and in accordance with HR procedures and policies to ensure that they

  • maintain the highest standards of accountability and professionalism.

  • Ensure that all logistics and relevant programme staff are adequately trained and create possibilities for capacity

  • building mentoring and coaching. Coordinate the delivery of training for national staff to increase their

  • responsibilities in order to build capacity and ensure sustainability of programs.


  • Represent Medair in a positive and professional manner contributing to the continuation of a positive image and

  • overall credibility of the organization.

  • Proactively engage with suppliers.

  • Support development of and validate the logistics component of all base and project budgets.

  • Carry-out regular inspections to ensure the best use of Medair assets.

  • Ensure projects are implemented in line with donor proposals and requirements and in accordance with Medair donor country and international standards.
