High school degree is required however bachelor’s Degree in IT law Economics Social Science or other related fields are desirable but not a requirement.
Proven experience as filing clerk data entry in the system and inventory is must
Working experiences with Ministry of Justice and particularly the State Cases Department will be an asset
Having strong commitment for the confidentiality of sensitive data
Knowledge of filing systems in other organization preferably 2 years
Very good knowledge of MS Office and office equipment such as photocopier scanner etc
Excellent organizational skills
Great attention to detail
Fluency in Dari and Pashto
Fluency in Pashto/Dari (written and spoken) is must. Fluency in English (written and spoken) is desirable.
Duties & Responsibilities
Working under overall supervision of Director General of State Cases Department the Head of the Administration unit within DGC and direct supervision of the National Project Manager of AQJS project the filling assistant will work on the database management of the Department of State Cases of the Ministry of Justice.
Scope of work
The filling Assistant will be responsible for the following tasks:
Work closely with the Filling team and remain responsible for the overall database management reporting and mapping activities of the filling.
Develop/design and format of a computerized data Management tool in MS office.
Check incoming paperwork (correspondence invoices etc.) and make copies before distributing.
Sort all papers alphabetically and according to contents dates significance etc.
Create or update records with new files and information
Store all paperwork in designated places securing the important documents
Enter paperwork into an electronic system either by data entry or by using optical scanners
Deal with all requests to access files and keep logs of borrowed papers
Develop an efficient filing system to make updating and retrieving files easier
Follow policies and confidentiality dictations to safeguard data and information
Monitor inventory of files paper clips etc. and report shortages
Perform any other tasks assigned by the top management when required
Prepare the initial plan for the developing the database in MS office and the overall electronic data entry of all available case files.
Collect the cases and all the data and information related to the State cases
Initiate filling and management of cases and the process of data entry into the system for all available cases at the Department of State Cases
Manage office supplies stock and place orders
Continuing the filling and fill management case by case and data entry process in the database
Organize a specific filing system for important and confidential office documents
Prepare monthly reports and statistical data to His supervisor
Carry out administrative duties such as filing typing copying binding scanning etc.
Finalizing the filling copying binding and scanning
Completing the data entry by making sure that all data are entered in database and can be accessed while needed.

Under overall supervision of Director General of the State Cases Department and the direct supervision of the National Project Manager of the AQJS project the filling assistants will work closely with the Administration of the State Cases Department on the initiation and the development of database in MS office and starting the process of filing of all available and archived cases in the department.
The duty station of the filling assistants is Kabul Afghanistan for the entire duration of the contract. At all times the filling assistants are required to observe and strictly follow rules and regulations.
