Qualification:

Minimum Bachelor degree from a recognized university in administrative-related fields

At least 2 years work experience in the same field.

High self-motivation.

Should have a good command of the English language (spelling grammar and punctuation) to produce high quality documents.

Should have good interpersonal skills and team working abilities.

Should be good in using computer software including Word Outlook and Excel.

Should have good keyboard skills be good at typing with a high speed efficient and pay attention to details.

Should have good analytical competences you work and enter your data with high discipline and accuracy. Honesty trust and integrity are your key values.

Should produce proper neat and well-presented work.

You work discreet - much of the information you deal with is confidential.

Should have the ability to reflect her own work.

Duties & Responsibilities

Overall responsibilities and management tasks:



You are assigned to assist the day to day operations of Administration and HR functions and duties. You provide clerical and administrative support.



Your main tasks and duties are as follows but are not limit to that:



Daily job duties:




  1. Review follow up and report the daily staff attendance at the Program Coordination Office.

  2. Calculate and record the staff leaves daily and collect/record the leave forms and report all employees about their leave record on monthly bases.

  3. Create and update working documents and forms.

  4. Follow-up of daily staff movements and assure that everyone is using gate passes.

  5. Maintaining calendars of Administration and HR management team.

  6. Filing and archiving of HR documents.

  7. Collect data and information to prepare employment contracts.



Recruitment tasks:




  1. Post job announcements on websites inform international structures to look for candidates.

  2. Screen applications (long list). Schedule and prepare written test and interviews.

  3. Attend interview processes in absence of HR Manager.

  4. Prepare individual employee files and file them.



Payroll and benefit administration tasks:




  1. Record and report the staff turnovers. 

  2. Organize the finalization of Program Coordination Office payroll each month.

  3. Prepare and print of monthly pay slips and process them



Record duties:




  1. Perform file audits maintain accurate filing documentation and database.

  2. Assist the HR Manager in preparing of monthly staff list and recording.



Other duties and responsibilities:




  1. Provide secretarial support by entering formatting printing copying etc.; organizing work;

  2. Answer internal and external calls; relay messages; maintain equipment and supplies.
