Duties & Responsibilities

General objective:

The Logistic and procurement Assistant will be responsible for supporting the overall management and coordination of the office/field in accordance to Procedures and Guidelines as set by People In Need (PIN). The Logistic and Procurement Assistant will facilitate the implementation of the programs by meeting the logistic requirements (including management of warehouse rental vehicles and supporting the supply chain cycle) of the project in a timely efficient and accurate manner.


Key Tasks and Responsibilities: 

Under the direct supervision of logistics Officer the Logistic Assistant should perform the following duties:


  • Supporting the Logistic Department in the management and supervision of the rental vehicles fleet in order to meet the operational needs (vehicle procurement scheduling replacement reporting);

  • Organizing and supervising loading/offloading of projects goods and arranging transportation when requested;

  • Supporting program staff during NFI distribution;

  • Organizing courier deliveries and other services as per requests;

  • Check invoices delivery receipts and other papers such as good receiving notes and submit them for payment to finance department;


  • Working with team members and Procurement Officer to complete duties as needed such as sublimation and collecting tender doc to/from supplier;

  • Visit suppliers to check the quality of goods that they supply;

  • Liaise with suppliers and transport companies;

  • Create and maintain good relationships with vendors/suppliers;

  • Collecting quotations and conduct market surveys as needed;

  • Evaluate quotations and analyze the prices quality and delivery times according to PIN procurement policy;

  • Maintain and update list of suppliers and their qualifications delivery times and potential future development;

  • Any other task related to the logistics in the field and requested by the direct supervisor;


  • Managing warehouses assist in receiving / issuing of goods and warehouse reconciliation;

  • Prepare waybills check delivery receipts and other paper work related to warehouse;

  • Keep up to date all warehouse documents such as stock cards and reports;

  • Communicate with drivers to ensure efficient delivery of goods;

  • Manage customer service requests promptly and resolve issues quickly when needed;

  • Keep stock control systems up to date and make sure inventories are accurate;

  • Maintain standards of health and safety in the warehouse for example ensuring that stock tents kitchen kits and hygiene materials stored safely;
