Minimum of a 12 grad while the bachelor’s degree in business administration will be preferred and 3 years of relevant work experience
Minimum of 2 years’ experience working in marketing with private and national/international organizations
Duties & Responsibilities
The Receptionist will be the first point of contact for PIBF. Receptionist’s duties include offering general administrative and clerical support across the organization. He/she will welcome students trainers guests and greet people who visit the institute. He/She will also coordinate front-desk activities including organizing filing system answering phones handling participants inquiries sorting & distributing mail schedule meetings and travel for the management in PIBF.
JOB RESPONSIBILITIES/SPECIFIC DUTIES
Provide a high level of customer service to all residents and guests to the office;
Serve as primary point of contact for students and other visitors to the office.
The Receptionist will answer questions and refer the students & guest to the appropriate staff member if unable to assist;
Answer telephone calls and transfer the caller to the appropriate staff member;
Greetings visitors professionally and in line with Afghan culture and determine visitor needs in a professional manner.
Perform required clerical works at front desk including maintain visitor register schedule & update appointment calendar maintain filing system and any other clerical duties.
Coordinate and distribute the required information through phones and emails.
Assist in maintaining student housing files by filing appropriate paperwork;
Enforce and adhere to all relevant policies/procedures as set forth by PIBF.
Make arrangements for meetings trainings and workshops as required.
Answer the telephone and respond to departmental email in a friendly courteous and prompt manner using proper Dari Pashto and English.
Ensure registration requirements are kept current at all times and files statutory returns and renewals.
Monitor staff’s daily attendance records and report anomalies to the management at the end of the month.
Carry out any other tasks as assigned by the supervisor
