Duties & Responsibilities

JOB SUMMARY



The Receptionist will be the first point of contact for PIBF. Receptionist’s duties include offering general administrative and clerical support across the organization. He/she will welcome students trainers guests and greet people who visit the institute. He/She will also coordinate front-desk activities including organizing filing system answering phones handling participants inquiries sorting & distributing mail schedule meetings and travel for the management in PIBF.



JOB RESPONSIBILITIES/SPECIFIC DUTIES




  • Provide a high level of customer service to all residents and guests to the office;

  • Serve as primary point of contact for students and other visitors to the office.

  • The Receptionist will answer questions and refer the students & guest to the appropriate staff member if unable to assist;

  • Answer telephone calls and transfer the caller to the appropriate staff member;

  • Greetings visitors professionally and in line with Afghan culture and determine visitor needs in a professional manner.

  • Perform required clerical works at front desk including maintain visitor register schedule & update appointment calendar maintain filing system and any other clerical duties.

  • Coordinate and distribute the required information through phones and emails.  

  • Assist in maintaining student housing files by filing appropriate paperwork;

  • Enforce and adhere to all relevant policies/procedures as set forth by PIBF.

  • Make arrangements for meetings trainings and workshops as required.

  • Answer the telephone and respond to departmental email in a friendly courteous and prompt manner using proper Dari Pashto and English.

  • Ensure registration requirements are kept current at all times and files statutory returns and renewals.

  • Monitor staff’s daily attendance records and report anomalies to the management at the end of the month.

  • Carry out any other tasks as assigned by the supervisor
