  • Bachelor degree in a Science Technology Engineering or Mathematics discipline

  • Bachelor’s Degree with 4 years experience in the related field

  • Event organization experience

  • Ability to work independently

  • English language proficiency (spoken read written)

  • Willing to work outside usual work hours if required

  • Highly computer literate including e-mail and MS Office programs (Word Excel and PowerPoint Access)

  • Able to collect analyze and present data

  • Successful running of the STM Tutoring Center

  • Successful facilitation of division events

  • Enhancement of the database system of the division



Job Summary:



The Administrative Officer is responsible for the management of the administrative side of the office of the Chair of the Division of Science Technology and Mathematics (STM).



Responsibilities:




  • Management and coordination of all aspects of the STM Tutoring Center including the supervision and overseeing of tutors

  • Developing soft skills workshops training and evaluation assessments for Interns and Work-Study Assistants

  • Supervision of the schedule division work study students and production of follow up reports on their work

  • Designing and implementing office operation procedures for the efficiency of work processes and making necessary adjustments

  • Managing and updating the STM Division data in AUAF website

  • Developing and providing weekly monthly and semester reports of division activities and events

  • Leadership and management of volunteers in division events

  • Developing new concepts for promotional activities to improve the visibility of the division

  • Planning directing overseeing and maintaining professional and technical office support services

  • Maintain professional relations with other departments as liaison

  • Managing the documents and paper work of the division chair

  • Assisting the chairs of the organizing committees of division events in the development designing and organizing of workshops and training programs

  • Maintaining accurate documents and data of the division

  • Providing relevant support and services in division committees

  • Contributing to division efforts by accomplishing related results as needed

  • Manage and maintain the course files offered by the division (syllabi assessments grades) and develop an office filing system for them

  • Manage and maintain a textbook filing system and other course materials and formulating budget requests according to needs

  • Preparing and maintaining the weekly schedule for the Chair

  • Preparing posting and maintaining general schedules with division faculty data

  • Ensuring division is tidy well organized and update as required

  • Handling mail electronic communications; compose and type correspondence as required

  • Follow up on required tasks of faculty

  • Track and report to the Chair of monthly expenditures

  • Maintain inventories for the division and prepare request forms according to needs

  • Typing printing photocopying and scanning documents for the Chair when required.

  • Routing messages and information to appropriate individuals paying particular attention to channeling communications to other relevant departments.

  • Follow up on bids related to equipment to be purchased for the division

  • Processing and handling of visits and requests by students and other parties to the Chair

  • Develop and maintain a database of visits to the Chair

  • Preparing and processing purchase requisitions timesheets inventory and general university administrative paperwork and follow up with the relevant departments

  • Assisting with new faculty and student orientations and follow up with Human Resources Department on newcomers

  • Organizing division meetings including the preparation of agenda minutes and follow up

  • Performing other tasks as reasonably assigned by the Chair of the division
